A Day in the Life of a Coffee Franchise Owner

Jul 25, 2024 | 0 comments

Loving coffee and managing a coffee business are different experiences. This illustrative day explores the questions a prospective owner should consider. It is not a report about a named franchisee or a promise that every owner follows the same schedule.

Before opening: people, supplies and readiness

A useful opening review covers staff assignments, available supplies and equipment readiness. During service, a manager may help resolve delays, handle complaints and support the team. Later, attention shifts to ordering, payroll records, budgets and maintenance. Closing can include reconciling receipts and securing the premises.

These responsibilities reflect the Bureau of Labor Statistics’ description of food service management. BLS also notes that schedules can include early mornings, evenings, weekends and holidays, with some managers working more than 40 hours a week. It is a broad occupational description rather than a schedule specific to any coffee franchise.

During service: define your role

Imagine a busy morning when a team member is absent and several orders arrive together. Would you want to work alongside the team, direct a trained manager or focus on another role? Use that scenario when discussing the franchise’s staffing and owner-participation requirements.

Ask current owners which interruptions take the most time, what they delegate and how their responsibilities changed after opening. A drive-thru, a seated cafe and a food-focused location may require different routines. Compare the specific format rather than relying on a generic picture of coffee ownership.

Between busy periods: work within the franchise system

The FTC’s franchise buyer guide explains that franchise systems can control operating methods, products, suppliers and advertising. A franchise owner should not assume they can add a new beverage, change suppliers or introduce delivery on their own.

For a practical discussion with a franchisor, ask how menu changes are introduced, who approves local promotions and what support is available when equipment or software fails. Request a clear explanation of which responsibilities belong to the owner and which services the franchisor actually commits to provide.

At the end of the day: evaluate more than sales

Consider what information you would want to review after a shift. Were customers served as intended? Were there stock shortages, preventable delays or issues needing follow-up? What needs attention before the next opening?

A busy counter does not establish owner income. The FTC guide distinguishes financial performance representations from assumptions about future results. Review the relevant FDD disclosures and the costs of the actual proposed business when assessing its economics.

Questions to answer before choosing a coffee franchise

  • What does the agreement require of the owner, operating partner or manager?
  • Which responsibilities would you personally perform during the first year?
  • How would your household handle early starts, weekends and unexpected staffing needs?
  • Which tasks do current owners find most rewarding, and which do they find hardest?
  • What training and ongoing assistance are included, and what carries additional expense?
